Recruitment Privacy Notice

This notice explains how EM Alliance USA collects, uses, and protects the personal information you provide when applying for a position with us. Please read it carefully before submitting your application.

1. Who We Are

EM Alliance USA ("EM Alliance," "we," "us," or "our") is the data controller responsible for the personal information you provide through our recruitment process. We are an emergency medicine physician group that recruits physicians and advanced practice providers across the United States. 2. Information We Collect

When you apply for a position with EM Alliance, we may collect the following categories of personal information: • Identity & Contact: Full name, email address, phone number, mailing address • Professional Credentials: Medical degree, board certifications, board status (certified, eligible, or pending), board organization, specialty, NPI number, IMLC membership • Employment History & Qualifications: CV/resume, residency program, graduation year, fellowship training, clinical experience • Work Authorization: Whether you are authorized to work in the United States • Preferences: Employment type interest, desired start date, states licensed, desired locations/facilities, leadership interest • Referral Information: Whether you were referred by a current EM Alliance provider, and by whom • Communications: Any cover letter, additional information, or correspondence you send us • Documents: Licenses, certifications, malpractice records, contracts, and other documents you upload

3. How We Use Your Information

We use your personal information to: • Evaluate your application and qualifications for open or future positions • Contact you regarding your application status and next steps • Conduct interviews, reference checks, and credentialing verification • Comply with legal obligations related to employment and healthcare staffing • Maintain records of our recruiting activities for internal reporting • Consider you for future opportunities if you consent to us retaining your information We will not use your information for any purpose materially different from those described above without obtaining your consent first.

4. Legal Basis for Processing

We process your personal information based on your explicit consent, which you provide by checking the consent box when submitting your application. You may withdraw this consent at any time by contacting us at careers@emallianceusa.com. Withdrawal of consent does not affect the lawfulness of any processing carried out before the withdrawal. We may also process your information as necessary to comply with applicable legal obligations (such as equal employment opportunity reporting requirements).

5. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share it with: • Internal Personnel: Recruiting coordinators, hiring managers, and relevant clinical leadership involved in evaluating your application • Credentialing & Background Services: Third-party providers that assist with license verification, background checks, and reference checks — only as needed and under appropriate confidentiality agreements • Technology Providers: Vendors that operate our applicant tracking and HR systems, bound by data processing agreements • Legal & Regulatory: Government agencies or legal counsel when required by law If a third-party recruiter or agency submitted your application, relevant information may be shared with them in connection with your candidacy.

6. AI-Assisted Document Processing

When you upload a CV or resume during the application process or when our recruiting team uploads your CV on your behalf, that document may be processed by an artificial intelligence service to automatically extract and populate your profile fields (such as name, contact details, degree, specialty, board certification status, residency program, fellowship training, and licensed states). This processing is performed via the Anthropic API (anthropic.com). The document content is transmitted securely over HTTPS and used solely to extract structured data fields. Anthropic's API usage policy prohibits using API data to train their models, and your document is not stored by Anthropic beyond what is necessary to fulfill the extraction request. You are not required to upload a CV. If you prefer to complete your application manually, you may do so without using this feature. Extracted data is presented for your review before being saved and you may correct or remove any auto-populated information. If you have questions about AI-assisted processing or wish to request that information extracted this way be deleted from our systems, please contact us at careers@emallianceusa.com.

7. Data Retention

We retain your personal information in our recruitment database indefinitely so that we may consider you for current and future positions with EM Alliance. This allows our recruiting team to maintain an accurate record of qualified candidates and reach out when relevant opportunities arise. If you are hired, your information will be retained as part of your employment or contractor record in accordance with applicable law. If you would like your personal information removed from our systems, you may submit a written deletion request to careers@emallianceusa.com. We will process your request and confirm removal within 30 days, except where we are required by law to retain certain records.

8. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, disclosure, alteration, or destruction. Our recruitment platform uses encrypted data storage and access controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal information: • Access: Request a copy of the personal information we hold about you • Correction: Request that we correct any inaccurate or incomplete information • Deletion: Request that we delete your personal information, subject to any legal retention obligations • Withdraw Consent: Withdraw your consent for us to process your information at any time • Portability: Request that we provide your information in a portable, machine-readable format • Opt-Out of Sale: We do not sell personal information; no opt-out is required To exercise any of these rights, please contact us at careers@emallianceusa.com with the subject line "Privacy Request." We will respond within 30 days. We may need to verify your identity before fulfilling your request.

10. Cookies & Tracking

Our application forms use Cloudflare Turnstile, a privacy-respecting bot-detection service. Turnstile does not use cookies for tracking and does not collect personal information beyond what is necessary to confirm that you are a human submitting the form. 11. Children's Privacy

Our recruitment platform is intended for adults who are eligible to work. We do not knowingly collect personal information from anyone under the age of 18. If you believe we have inadvertently collected such information, please contact us immediately.

12. Changes to This Notice

We may update this privacy notice from time to time. The date at the top of this page reflects when it was last revised. We encourage you to review this notice periodically. Continued use of our application forms after an update constitutes acceptance of the revised notice.
